Emergency Calls

During Office Hours

Patients may access the telephone triage nurse during regular office hours for issues that are non-life threatening. The telephone triage nurse is not a 911 line. The telephone triage nurse can provide reassurance and/or advice at the physician's direction for conditions such as OB bleeding, pre-term labor, post operative issues, vaginal itching, urinary symptoms, etc. We do not provide treatment via the telephone. The physicians encourage patients to schedule an appointment for most problems. OB patients may be directed to Randolph Hospital 's maternity suites for evaluation by the on-call physician.

After Office Hours and Weekends

After hours and on weekends, the physician on-call may reached through the Randolph Hospital switchboard operator at 336-625-5151. The operator will connect you with the on-call physician for Central Carolina Women's Center. Please use this call for emergencies that you feel can not wait until the office reopens.

Prescription Refills

Prescriptions and prescription refills are not considered an emergency and should be taken care of during regular office hours. The physicians do not prescribe narcotics via the telephone or on weekends. Narcotics include Percocet, Vicodin, Oxycontin, etc.

For non-narcotic prescriptions to be called in by our staff, you must have been seen for an annual exam within the past twelve months unless otherwise documented in the medical record by the physician. Please do not wait until your medicine is gone before calling for a prescription refill. Please allow 48 hours for prescriptions to be called to your pharmacy.

Appointment Scheduling

We ask that our patients be seen by appointment only . Presenting to the office without an appointment is disruptive to office flow and will result in unnecessary waits.

To move you through the check in process more efficiently, please arrive at least 10 minutes prior to your scheduled appointment. This will allow sufficient time for any new demographic information to be entered into our practice management system as well your insurance card(s), and the Patient Agreement Form (authorization for treatment, assignment of benefits, financial responsibility, and HIPAA acknowledgment) to be scanned into the electronic medical record. In addition, a photograph will be taken and automatically entered into the electronic medical record. The photograph will assist the staff in identifying you.

Medical History

If you have been asked to complete your medical history through the digiChart® Patient Portal, please do so prior to your appointment. If you have not completed your medical history prior to your appointment, please call the office so that your history can be obtained via telephone. Failure to complete your medical history prior to your appointment may result in rescheduling. Please refer to the digiChart® Patient Portal section of the webpage for more information.

Appointment Delays

If you are more than 10 minutes late for your scheduled appointment, you may be subject to rescheduling. Please call if you expect that you are going to be late.

We realize that your time is valuable too. We make every attempt to avoid physician delays; however emergencies and unexpected patient problems do occur that cause the physician to run behind. If a delay arises, the check-in staff will advise you and you will be given the option of waiting or rescheduling. If you feel you have been waiting too long either in the lobby or in the exam room PLEASE tell us.

Cancellations

Cancellations should be made as far in advance as possible but at least 24 hours prior to your scheduled appointment. Calling in advance will release the appointment time for other patients who may be on a waiting list or have an urgent need for an appointment. Your courtesy is appreciated.

Patient Information

At each visit, you will be asked to confirm your current address, telephone number(s), and emergency contact information. You will also be asked to present your primary and secondary insurance card at every visit. You will be asked to review and sign the Patient Agreement form that includes authorization for treatment, assignment of benefits, financial responsibility, and HIPAA Acknowledgement. The CCWC Notice of Privacy Practices that corresponds with the HIPAA Acknowledgement portion of the form is available on the HIPAA and Patient Confidentiality section of the website.

Medicaid Recipients

Medicaid recipients must present a current, valid Medicaid card at every visit. Medicaid recipients who do not present a current, valid Medicaid card will be given the option to pay in full for the scheduled appointment or reschedule until a valid card can be provided. If the Medicaid recipient chooses to pay for the visit and presents a current, valid Medicaid card at a later date, the claim will not be filed retroactively. Please see the Payment and Insurance section of the website for more detailed information related to Medicaid recipients.

Minors

A minor can not consent to treatment unless she is legally married or legally emancipated. Minors may be seen with the consent of a parent or legal guardian. The parent or legal guardian is considered the guarantor and must agree by signature to accept financial responsibility for unpaid charges that may be incurred.
